Understanding Company Processes

Companies use the present simple to describe their standard processes and procedures. Here are some examples: ‘The IT department backs up data nightly’, ‘Our quality team checks each product’, ‘The accounting system generates reports monthly’.

Structure and Pattern

We use [Subject + Present Simple Verb], e.g., ‘The system updates automatically at midnight.’ This shows how regular, established procedures happen without variation. For plural subjects, remember the base form: ‘Managers approve expenses’, while singular subjects need -s: ‘The printer sends notifications’.

Time Expressions in Procedures

Processes often include frequency expressions: daily, weekly, monthly, quarterly, annually. For example: ‘The system runs diagnostics daily’, ‘The committee meets quarterly’, ‘HR reviews policies annually’.

Examples

The finance department processes payroll on the 25th of each month.Regular, scheduled company procedure with specific timing
Our suppliers deliver materials every Monday and Thursday.Recurring business process with fixed schedule
The quality control team inspects products before shipping.Standard procedure that happens as part of the workflow

Common Mistakes to Avoid

❌ Incorrect: The system is backing up files every night

✅ Correct: The system backs up files every night

Explanation: Use present simple, not present continuous, for regular automated processes

❌ Incorrect: Quality team check products

✅ Correct: Quality team checks products

Explanation: Collective nouns like ‘team’ need singular verb form with -s

Tips for Success

  • Use present simple for automated system processes that happen without human intervention
  • Include specific time expressions to clarify when procedures occur
  • Remember that company departments are treated as singular subjects
