1 Section 1. Understanding the Payslip
Welcome to the language of payroll. Let’s start with the document every employee receives. It is called a payslip. This document shows the money an employee earns in a fixed time. This time is the pay period. It can be a week or a month. On the payslip, you see the total earnings before anything is taken out. This is the gross pay. Then you see all the amounts taken away. Each of those is a deduction. Finally, the amount the employee actually gets is the net pay. Net pay is what goes into their bank account.
2 Section 2. Taxes and Government Contributions
Now let’s look at the deductions on a payslip. The most common one is income tax. This is a tax on earnings. The government collects it through a system called PAYE. PAYE means “Pay As You Earn”. The employer takes the tax from the salary before paying the employee. Another deduction is national insurance. This pays for things like the NHS and the state pension. To calculate the right amount of tax, the employer uses a tax code. The tax code tells the employer how much of the salary is tax-free.
3 Section 3. Different Parts of an Employee's Pay
An employee’s pay is not always the same. The regular amount they get each pay period is the basic salary. This is the fixed pay in the contract. If the worker does extra hours, that extra work is overtime. Overtime is often paid at a higher rate. Sometimes the employee gets extra money for a specific reason. This is called an allowance. For example, a travel allowance or a meal allowance. Another important deduction from pay is a pension contribution. This money goes into a retirement fund for the employee.
4 Section 4. Legal Rights and When Employment Ends
All these rules come from the employment contract. This is the legal agreement between employer and employee. It says what the basic salary is and what benefits the worker gets. If a worker is ill, they may receive statutory sick pay. This is the minimum amount the law says the employer must pay. A woman having a baby can get statutory maternity pay. When a worker leaves the job, the employment ends. This is called termination. It can happen when someone resigns, is dismissed, or is made redundant.
5 Section 5. The Payroll Process
How does an employer pay everyone correctly? They use a payroll run. This is the complete process of calculating and paying all employees for a pay period. A computer program does most of the work. That program is payroll software. It calculates gross pay, deductions, and net pay. It also creates payslips. On payday, the employer sends the net pay to each worker’s bank. This is called a bank transfer. After the run, the payroll team checks that all numbers are correct. This check is payroll reconciliation.
6 Section 6. From Hiring to Leaving: Documents and Reporting
Before an employee can be paid, they must be added to the system. This process is onboarding. The employer enters the new worker’s details into the payroll software. When an employee leaves, they get a P45 form. This shows how much they earned and paid tax in that year. The next employer uses this to set up the tax code correctly. At the end of the tax year, every worker still employed gets a P60. This is a yearly summary of earnings and tax. Throughout the year, the employer must send payroll data to the tax office on or before each payday. This report is called Real Time Information (RTI).
